GENERAL REFUND & PAYMENT POLICY

  1. All refunds, their respective amounts, and applicable administrative fees are at the sole discretion of the Club.
  2. Requests for a refund after 14 days prior to the start of the season will ONLY be considered based on medical reasons.  A signed medical note is required.  Please note, common sports injuries resulting from participation in sports programs will not be considered for partial refunds. 
  3. All refund requests must be submitted via email to registrar@whitbysoccer.com. Please allow 4–6 weeks for processing.
  4. An administrative fee of $50.00 will be charged on approved refunds.
  5. After the start of the Indoor portion of the LTPD program (i.e. from Nov 1 to Mar 31) – scheduled payments on Nov 15 & Feb 15 will not be cancelled and are non-refundable.
  6. Parents of players registered in LTPD / OPDL / IModel / DRSL must sign and acknowledge the provided fee schedule and confirm their intent to honour the payment schedule in full.
  7. Parents of players registered in LTPD / OPDL / IModel / DRSL acknowledge that failure to remain current with payments, as outlined in the fee schedule, may result in their child being prohibited from training with the team after 30 days in arrears.
  8. Parents of players registered in LTPD / OPDL / IModel / DRSL acknowledge that should payment arrears reach 60 days, the Club reserves the right to forward the full outstanding fees to a collection's agency.
  9. Team entry amounts paid by team reps for the adult recreational leagues are non-refundable at any time, both before and after the registration deadline.
  10. There will be no refunds or transfers of individual recreational player registration fees after 14 days prior to the program start date.
  11. Eligible refund requests made prior to the above-stated deadline will be processed, minus deposits and the Club’s administrative fee.
  12. Adult recreational players registered through a team entry registration must contact their team reps regarding refunds, not the Club.
  13. A paid recreational registration fee may be partially refunded (pro-rated) if an individually registered player withdraws due to medical reasons within 14 days of the injury occurrence. Medical documentation and an Incident Report must be provided.
  14. Any refund request due to player injury will be considered at the sole discretion of the Club.

Club Policies

The Club Policies document is discretionary to Whitby FC and is to be used as an addendum to the Ontario Soccer Policies document.  Should any conflict be identified between these policies documents, the Ontario Soccer Policies will override Club Policies and will be addressed on as needed basis.
